This article is for sellers. It explains how to arrange collection of a sold item, how to hand it over safely, and how to confirm collection to trigger your payment.
Summary
- Only hand over the item after checking that the invoice status is paid.
- The buyer gives you a collection code after collecting the item.
- You enter this code in
Sales invoices: this is the collection confirmation.
- This confirmation automatically triggers your payment.
1. The information you've already provided
Collection terms are set when you create your listing: address, available time slots, on-site contact, and any special instructions. They're only visible to the buyer who won the sale.
The more precise this information is (actual opening hours, access constraints, whether lifting equipment is available or not), the fewer exchanges you'll need to manage at collection time.
2. Arranging collection
Step | What you do |
1 | Check in Sales invoices that the invoice status is paid. |
2 | Agree on a time slot with the buyer, within the windows you've announced. |
3 | Prepare the item and access to it: clearing the area, disconnecting it, having staff on site. |
4 | Let the on-site contact know that the buyer or their carrier is coming. |
Never hand over an item before payment has been confirmed: this guarantees that the funds have been received before the item leaves your site.
3. On the day of handover
- Welcome the buyer or their carrier and check their identity.
- Present the item and let it be inspected.
- Proceed with the handover: loading is the buyer's responsibility.
- Ask for the collection code from the buyer, once the item has been handed over.
- Give the buyer the documents relating to the transfer:
- a copy of the dated and signed collection form (stamped for companies)
- the certificate of sale if it's a vehicle
- the dated, crossed-out, and signed registration certificate if it's a vehicle
4. Confirming collection
The steps to follow:
- Go to
Sell›Sales invoices.
- Find the relevant invoice, with a paid status.
- Open the line's menu (or the thumbnail's menu on mobile) and choose Confirm collection.
- Enter the code provided by the buyer, then confirm. 5. Check that the invoice status has changed accordingly: your payment is then set in motion.
The code is for single use. If it's rejected, check what you entered character by character; if it's already been used, collection has already been confirmed.
6. What confirmation triggers
- Your invoice status changes.
- Your commission invoice is issued.
- The payment to your bank account is initiated.
Our tips
- Provide realistic collection time slots as soon as you create the listing.
- Confirm collection the same day: this is what triggers your payment.
- Never confirm a collection in advance, even if the buyer asks you to.
- Notify on-site staff in advance: a refused entry costs both parties a day.
Frequently asked questions
Do I need to help with loading?
No, unless you stated so in your listing. Loading is the buyer's responsibility.
The buyer refuses to give me the code
The code is only shared after handover. If they refuse once the item is loaded, contact customer service right away.
I can't find the confirmation action
It only appears on invoices with a paid status. Check the status of the relevant invoice.
Can I confirm a collection that hasn't happened?
No. Confirmation attests that the item was actually handed over and triggers payment: it should never come before the collection.
A carrier shows up instead of the buyer
This is possible if they have the collection documents and the code. If in doubt, contact the buyer before the handover.
When will I receive my money?
Payment is initiated as soon as collection is confirmed, then sent to your bank account.
