This article is for professionals whose organization has several colleagues. It explains what a role is, which roles exist, what each one allows you to do, and why a feature might stay hidden despite an assigned role.
Summary
- A role groups together a set of access rights matching a domain: purchases, sales, listings, or organization administration.
- Four roles exist:
Organization,Product listings,Sales, andPurchases.
- Roles are assigned individually, member by member.
- A role can never grant access to a feature your organization doesn't use: a buyer-only organization doesn't offer the roles linked to selling.
- The first member, the one who created the organization, has all available roles by default.
1. Two levels determine your access
What you can do on Agorastore always results from the combination of two elements:
Your organization's activities | Your roles |
Define the features available to the organization (buying, selling, or both) | Determine which of these features you can use |
Apply to all members | Apply to each member individually |
Change with your commercial agreement | Change at the discretion of administrator members |
Example: your organization is authorized to sell. However, not all your colleagues can create listings: only those with the Product listings or Sales role access those screens.
2. The four roles and what they allow
Role | What it allows | Available for |
Organization | Manage general information, addresses, administrative information and documents; view and manage members and invitations. | All organizations |
Purchases | Take part in bidding, track purchases, pay purchase invoices, access collection information. | Buying organizations |
Product listings | Create listings, edit drafts, prepare items before publication. | Selling organizations |
Sales | Track sales, manage transactions, view sales invoices, confirm item collections. | Selling organizations |
A member can hold several roles at once. For example, someone responsible for purchases and sales will have the Purchases, Product listings, and Sales roles.
3. Two ways to assign roles
Mode | How it works |
Organization administrator | The member automatically receives all available roles. If your organization gains a new activity, the new roles are assigned to them without any action needed. This is the mode for the first member, the one who created the organization. |
Selected roles | You choose one or more specific roles. The member keeps exactly these roles, even if new features become available. |
Good practice: reserve administrator mode for the organization's managers, and assign targeted roles to other colleagues. This limits handling errors on bids and invoices.
4. Changing a member's roles
If you have the Organization role:
- Open
Organization>Users.
- Find the relevant member in the list, using search if needed.
- Open the actions menu at the end of the row, then choose to edit the role.
- Check or uncheck the roles you want among those available to your organization.
- Save: the
Rolecolumn in the table is updated immediately.
The member concerned may need to log back in for their new access to appear in their personal space.
5. The case of the custom role
Some members show Custom role in the Role column. This means their access has been fine-tuned, beyond the four standard roles, at your organization's request.
- On a computer, hover over the label to see the roles affected by this customization.
- On mobile, tap the label: the detail appears in a panel.
The roles of a member with a custom role can't be changed on your own. A message invites you to contact customer service, who will make the adjustment with you.
6. A feature isn't showing: what to check
- Your role: check the member list, the
Rolecolumn shows what's been assigned to you.
- Your organization's activity: the
Sellmenu only appears if your organization is registered as a seller, theBuymenu only if it's a buyer.
- Your session: log out then log back in after a role change.
- If you're still unsure, contact customer service specifying the action you're trying to perform.
Our tips
- Apply the principle of least necessary access: each member gets the roles useful for their work, no more.
- Limit the number of members with every role, while keeping at least two.
- Check the roles assigned after any change to your activity (starting to sell, opening a new scope).
- Keep an internal record of who holds the
Organizationrole: they're your points of contact for invitations.
Frequently asked questions
Can I have several roles?
Yes. Roles are cumulative: your access corresponds to the combination of all the roles assigned to you.
Why isn't the Sales role offered in my organization?
Because your organization doesn't carry out a selling activity. The roles offered always depend on the activities open to the organization. Contact your Agorastore contact to add the selling activity.
Who can change roles?
Only members with the Organization role. Others view the member list in read-only mode.
Can my roles change without me asking?
Yes, in one case: if you're the organization's administrator, the new roles matching a new activity are assigned to you automatically. If your roles were selected one by one, they stay unchanged.
Does the Organization role give access to bidding and sales?
No. It covers the administration of the structure: information, addresses, documents, members. To bid or manage sales, the Purchases, Product listings, or Sales roles are needed.
Can a member have more access than what's open to the organization?
No, never. Roles distribute the access available, they can't create new access.
