Inviting colleagues and managing members

Sending an invitation, tracking its status, and managing your organization's members.

This article is for professionals whose organization has, or will have, several colleagues. It describes how to invite a new person, track pending invitations, and view the member list. The actions described require the Organization role.

Summary

  • Member management is done from Organization > Users in your personal space.
  • Everyone can view the member list; only holders of the Organization role can invite or change roles.
  • An invitation is sent by email address, with at least one role to select.
  • The invitee receives an email containing an activation link valid for 7 days; you can resend it or cancel the invitation at any time.
  • Never share your login details: invite your colleague instead, they'll have their own account.

1. Where to find member management

From your personal space, open the Organization menu, then the Users tab.

The list shows, for each member:

  • their first and last name;
  • their email address;
  • their status (email confirmed, number confirmed, complete account);
  • their roles.

A search bar lets you filter by first name, last name, or email, and quick filters let you isolate members by status.

ℹ️

If you don't have the Organization role, this page stays accessible in read-only mode: you see your colleagues, but no action is offered and the invitation management tab doesn't appear.

2. Inviting a new colleague

Step 1 — Open invitation management

From Organization > Users, open the Invitation management tab, then click Invite a user.

Step 2 — Enter the invitee's details

A window opens with four required pieces of information:

  • first name;
  • last name;
  • email address;
  • at least one role.

The roles offered depend on your organization's activities: a buyer-only organization, for example, only offers the Purchases and Organization roles.

If a field is missing, it turns red with the message This field is required.

Step 3 — Send the invitation

Confirm the form. The window closes, the message Invitation sent appears, and the invitation shows up in the table.

Your colleague immediately receives an email mentioning your name, your organization's name, and the roles assigned to them, with an Activate my account button.

Step 4 — On the invitee's side: activating the account

Your colleague clicks the link they received and follows a simplified process: they set their password, confirm their email address and their mobile number.

They have no organization information to enter: they join yours directly, with the roles you defined.

3. Tracking and resending invitations

The invitations table shows the last name, first name, email, status (Pending or Expired), and the date sent. A search bar and quick filters help you find your way around.

Two actions are available on each row:

Resend the invitation
A new email is sent with a new activation link. Use this if your colleague received nothing or if the deadline has passed.
Cancel the invitation
The link becomes unusable and the row disappears from the table, after confirmation. The person can no longer join the organization.
💡

Can't your colleague find the invitation email? Have them check their junk mail before you resend the invitation, and check the spelling of the address entered.

4. Changing a member's roles

From the member list, the actions menu at the end of the row lets you change the roles assigned to a colleague. Roles and their scope are detailed in the article dedicated to roles.

Actions are one at a time: you change one member at a time, there's no bulk action.

Some members show Custom role. Their access has been specifically adjusted and can't be changed on your own: a message invites you to contact customer service.

5. When a colleague leaves

Removing a member isn't yet available from your personal space. If someone leaves:

  1. Remove the roles they no longer need, to limit their access.
  1. Ask customer service to block their account.
  1. Invite the person replacing them with their own email address.

Never reuse a former colleague's account by simply changing its email address: the bidding and sales history would stay attached to the wrong person.

Our tips

  • Assign only the roles needed to each colleague; you can always add more later.
  • Let your colleague know before inviting them: they'll recognize the activation email.
  • Review the member list at least once a quarter.
  • Keep at least two members with the Organization role: this avoids getting stuck if someone is unavailable.

Frequently asked questions

How many colleagues can I invite?

There's no limit. Each person will have their own account and their own roles, while sharing the organization's data.

My colleague already has an Agorastore account, does the invitation work?

An account is linked to a single organization. If your colleague already has an account linked to another structure, contact customer service: they'll tell you how to proceed to avoid duplicates.

How long does the activation link stay valid?

The link in the invitation email is valid for 7 days. After that, the invitation shows as expired: use the Resend the invitation action.

Can I change an invitee's roles before they activate their account?

Roles are set at the time of invitation. To change them before activation, cancel the invitation then send a new one with the correct roles. After activation, roles are changed directly from the member list.

Can I remove a member from my organization?

Not yet from your personal space. Remove their roles and ask customer service to block their account.

A member doesn't see the expected features, why?

Check the roles assigned to them in the member list. If the role is correct but the feature stays hidden, the relevant activity may not be open for your organization: contact customer service.
